Quality control

Will I be able to control quality across an outsourced team?

This is the question we hear most, and the answer is structural, not a promise. Every engagement runs through a four-tier review — accountant, senior, lead, manager — before anything reaches you. Smaller engagements run a two- to three-tier chain, but no work leaves Datastub with only one set of eyes on it. You also get one named account manager who owns your relationship from day one. You don't get rotated between staff, and you don't have to re-explain your business every quarter.

Data security

Will my data be safe?

Yes — and we'll tell you exactly how, because vague security claims are usually how firms hide thin practices. Your files live on Microsoft 365 SharePoint, US-hosted, encrypted at rest and in transit. Access is role-based, so only the team assigned to your engagement can see your files with offices only access— never from a personal device. Every employee signs an NDA on day one, and every file action is logged in an audit trail you can request. For sensitive documents like tax forms, bank statements, and payroll records, we don't accept email — everything moves through a secure SharePoint folder shared only with your engagement team. We carry both E&O insurance and cyber security insurance.

How will the transition work?

Cleaner than you'd expect. Most clients come to us because their current setup has already broken down — books are behind, the old bookkeeper has gone quiet, the software is wrong for the business. We've handled all three. Onboarding starts within 48 hours of signing. We pull your existing records, identify the gaps, document the chart of accounts, and have you fully on our process within the first month. You don't need to know what your last bookkeeper did — figuring that out is our job, not yours.

Flexibility

What if it doesn't work out?

You're not locked in. Datastub doesn't use long-term contracts — 60 days' notice, and we hand off cleanly: every record, every reconciliation, every historical entry, packaged for whoever comes next. We'd rather you leave with everything you need than stay because leaving feels too disruptive. Do you work with businesses outside your seven core industries?

Yes. Those seven are where we go deepest, but we work with plenty of businesses outside them. We'll just be upfront on the discovery call if your industry is new to us, and what that learning curve looks like.

How do you handle mistakes?

We back our work with a performance guarantee. If we miss a deliverable or make an error that costs you money, we make it right. The four-tier review exists specifically to catch mistakes before they reach you — but when something does slip through, we own it.

How does switching from my current bookkeeper work?

What happens to my data if we ever part ways?

Your books stay in your own accounting software the entire time — QuickBooks, Xero, whatever you're on — under your ownership. If we part ways, you keep full access, and we package every record, reconciliation, and historical entry for whoever takes over next. Nothing is held back.
